The Challenge
This 32-room highway hotel sits on NH-48 between Pune and Mumbai, one of the busiest routes in western India. Most guests arrive late at night and leave early the next morning. The front desk handles short stays every day, and every minute at the register counts. For years, the hotel ran on Excel, WhatsApp, and a separate restaurant billing machine. It worked until weekend rush or GST audit day.
Like many small and mid-size hotels in India, this property had outgrown manual tools but did not want an expensive chain-grade PMS.
- Room availability lived in Excel. Double bookings on busy weekends meant refunds, upgrades, or angry guests.
- The restaurant used its own POS. Room charges were written on paper and re-entered at checkout.
- GST billing was inconsistent. Some bills had CGST/SGST split; others were handwritten and rejected by company guests and travel agents.
- Guest history was missing. Repeat fleet drivers and corporate travelers came often, but the desk had no record of past stays.
- Cloud PMS quotes were per room per month. For a 32-room hotel with tight margins, the cost did not add up.
What They Needed
The owner did not need a 500-room chain system. He needed hotel register software built for how small hotels actually work: fast check-in, clear GST billing, restaurant linked to room folio, Razorpay/UPI at the desk, and full control over guest data on his own server.
Why They Chose HostFlow
After a 15-minute demo with Codextroop Technologies Pvt Ltd, the owner's checklist was simple.
- Self-hosted on own VPS: guest records and folios stay on infrastructure the hotel controls
- Register-first workflow: reservation, room status, check-in, folio, GST invoice, checkout in one flow
- Hotel PMS and restaurant in one system: POS orders post directly to guest folios
- GST-ready billing: proper tax invoice with CGST/SGST line items at checkout
- Full setup support: Code + Support & AMC covers server install, room setup, staff training, and one year of updates
- Clear roadmap: OTA sync (Staah) available as add-on when ready, not required to replace Excel today
Implementation: What Codextroop Delivered
The hotel went live in 18 days from signed agreement to daily front-desk use. Codextroop stayed on remote support through the first weekend, the busiest period, to handle real check-in traffic.
- Week 1, foundation: VPS setup (PHP 8.3, MySQL 8, Redis, SSL), 32 rooms across three types, GST tax config, staff login roles
- Week 2, operations and F&B: restaurant menu, dine-in and takeaway orders, POS terminal, KDS for kitchen, HK board, website inquiry form
- Week 3, training and go-live: front desk and F&B training, Razorpay for card/UPI, two-day parallel run with Excel, then full switch
What Changed Day to Day
In the first 90 days on HostFlow, each team saw a clear shift at the register, in the kitchen, and at checkout.
- Room grid replaced the Excel sheet. Live occupancy, quick room change, and HK status on one screen.
- Checkout became simple. Room and restaurant charges on one folio, GST breakdown printed, Razorpay at the desk.
- Housekeeping kept up with turnover. Status updated on tablet; front desk sees dirty rooms turn vacant without walking the floor.
- Repeat guests were recognized. Profiles store stay history, company billing, and staff notes.
- Website inquiries stopped getting lost. Leads from the hotel website enter CRM instead of unread WhatsApp messages.

- Integrated POS: orders post to guest folio automatically
- Auto GST invoice with CGST/SGST on every checkout
- Night audit done in under one hour

In Their Words
Representative quote. Replace with approved owner testimonial when available.
“We did not want another monthly subscription with our guest data on someone else's cloud. HostFlow runs on our server. Our team picked it up in two training sessions, and the restaurant finally connects to the front desk. For a small hotel on the highway, that alone was worth it.”
What's Next
The hotel is running HostFlow in daily operations. Planned next steps:
- OTA channel setup via Staah when ready to reduce manual Booking.com / MakeMyTrip entry
- WhatsApp pre-arrival messages for confirmed bookings
- Loyalty offers for repeat fleet and corporate guests
The register works fully today. Add-ons like OTA sync can come later when the business is ready.
